WinWin - Digitalising work processes, one tutor evaluation at a time

Chambre de Commerce · Winwin

Brief

The Chamber of Commerce Luxembourg (Chambre de Commerce Luxembourg) published an open-call for the redesign of their platform WinWin, a platform managing apprenticeships in Luxembourg. The main objectives were clear and straight-to-the-point: Take their existing platform and transform it into a resource that is easy and enjoyable to use, accessible to a great pool of tutors originating from different industries, and encourage tutors of the platform to go full digital for each step of their tutor evaluations and keep them engaged.

Challenges

Despite a smooth and collaborative process marked by several workshops and the agile work environment between Chamber of Commerce, Abacus (the company managing WinWin’s back-end services) and Apart, we faced some challenges along the way.

Our main challenge was the fact that we had to create an environment that was simple enough to be used by a large variety of people, from people having little to no contact with web products to people with a high level of digital intelligence, without having to forgo vital functionalities. The aim of this project was, therefore, to create a simple yet fully-functional platform.

Driving engagement

With one of the main project missions being the transition from paper to digital, it was imperative to add new functionalities that would exclusively be available online and create added value.

From a technical point of view, the process started by making the platform fully responsive so that it could be accessed from anywhere and at any time. WinWin, having previously only been accessible on desktop, is now available on-the-go, making it easier-than-ever to use!

In addition to this crucial technical development, we also came up with new user functionalities to make the platform not only easier to use, but also more valuable to the tutors and drive engagement with the different components. One of those features was the implementation of a new platform category: the journey (parcours). The journey element is at the heart of the platform and embodies the essence of WinWin. Here, tutors have an overview of all their apprentices, their tasks and deadlines, and can follow their progress in a clear and straight-forward way. This interactive element not only adds dynamism, it also connects the tutors with most of WinWin’s functionalities and can therefore be seen as a central starting point of the user journey.

We were inspired by the gamification approach when designing the journey component. The goal is to encourage tutors to use the platform by making them complete tasks to move along the linear path and collect achievements in the process. Tutors, who use the platform regularly, will be awarded ranks, ranging from Novice to Master.

Finally, we added a networking element, the directory, to make the platform truly valuable to the tutors. Tutors can look up industry peers, get in touch, and even plan meet-ups. Although group exchanges are not possible, the directory can be seen as a type of professional social network as it allows and facilitates the exchange of information and encourages industry discussions.

Design

The design of WinWin’s new interface started with analysing the brand’s existing visual identity and assessing how we can build on it. We particularly liked the hand-drawn logo and were inspired by it when creating a set of icons and hand-drawn illustrations used on various parts of the application.

Another aspect that motivated our design choices was the required accessibility of the platform and the pedagogical environment. When developing the new design elements and considering colour choices, we tried to include the traffic light system as much as possible. By implementing the colours, red, yellow and green, we add meaning to the different components and make them easy to understand for a wide range of audiences. Not only does the traffic light system add explanations to each task and define levels of urgency, it is also taken from a pedagogical context (green: projects are easy to complete/on time, yellow: projects are unclear/time is running out, red: projects are difficult/overdue).

A win-win situation

With the renewed interface, tutors are more likely to use the online platform when submitting their evaluations and the work load of the employees of the Chambre de Commerce has been lightened.

Thanks to the improvement of the existing imitation mode, inspired by the set-up of TeamViewer,  and the creation of communication channels, the Chambre de Commerce is more accessible to its users than ever before and issues can be resolved much faster than previously.
This is what we call a real win-win situation for the client and their end-users.
